Meeting at Hilton with Sales/Service People Friday, March 31, 2000 1:00 pm Vickie Alves, Gini Hickman, Carol Hudson, Randall Woodlee and I met with Hilton Hotel staff on Friday to work out final details. HOSPITALITY SUITE At first, I thought we would have fiasco because Hilton people had failed to enter into computer that we were coming June 1-3 instead of June 8-11. Wal-Mart Stockholders' Convention is going on same time as our convention, so EVERYTHING is booked up. Hilton, therefore, had failed to reserve 15th floor suite as requested, etc. HOWEVER, to compensate for their error, they provided us more spacious suite on 2nd floor overlooking University of Arkansas. This is far better place for hospitality. Hospitality will be Thursday and Friday nights, June 1st and 2nd, in Albert Pike Suite, Room 204, on 2nd floor next to lounge and 2nd floor lobby. It's super nice. We will stock our own beverages; it has bar for serving. The view is excellent. In addition, Hilton is providing (to compensate for their error) attached side room. BANQUET, 7 pm Friday Vickie gave brilliant suggestion: We will have the 6 national officers seated one to each table so that they may converse with local and state members on a personal level. We all agreed with Vickie. We made arrangements with Hilton to have 10 tables of 8 (round tables); no head table; and podium and mike at front with good lighting. Since Jim McCarthy (Nat'l Ass't. Clerk Craft Director) will be speaking, this should prove to be one of the most informative events yet. Hilton will provide centerpieces and color arrangements as Gini, Vickie, Carol, and Randall suggested. There will be large banner displaying convention theme. Convention Banquet Friday night will feature keynote speaker JIM McCARTHY -- one of the most gifted speakers in the country. Buffet entreés will include Chicken Breast, Roast Beef, Mashed Potatoes w/ Gravy, Rice Pilaf, Green Beans, Baby Carrots, Tossed Salad w/ Assorted Dressings, Hot Rolls & Butter, etc. Rooms Since Wal-Mart Stockholders from all over the world will be here for same dates as our convention, there will be no rooms available in all probability. It is important that we get the word out to all who plan to attend -- they need to get their reservations in ASAP. The 18th is the cut-off date for the Hilton; after that, they may find themselves in a stable. I will put special notice in flyer to all potential conventioneers. Help Needed! We need lots of help with gift packs, door prizes, COPA grand prize, and requisition of snacks & beverages for hospitality. We want to make this the best event yet.
